GENERAL NOTICE
The Town of Vici (Owner) is requesting Bids for the construction of the following Project:
Vici 2026 RTP Walking Trail, #2607
Sealed bids will be received by the City Clerk for the Town of Vici at 106 W. Broadway St., Vici, Oklahoma 73859, until 2:00 p.m., Central Local Time, on Wednesday, August 19, 2026, for the Vici 2026 RTP Walking Trail Project. Bids will be publicly opened and read aloud.
Bids may be delivered through two methods:
In-Person Bids may be delivered at the bid opening at Vici City Hall located at 106 W. Broadway St., Vici, Oklahoma 73859 by 2:00 p.m. on Wednesday, August 19, 2026
Mailed Bids may be delivered to P.O. Box 183, Vici, Oklahoma 73859, before 2:00 p.m. on Wednesday, August 19, 2026
This Project consists of furnishing all labor, materials, equipment, tools, and incidentals necessary to complete the Work in accordance with the Contract Documents.
The Work generally includes the construction of approximately 2,240 square yards of concrete sidewalk trail, together with all associated appurtenances and incidental work, including but not limited to clearing and grubbing, fencing, drainage culverts, trail lighting, grading, erosion control, and site restoration.
OBTAINING THE BIDDING DOCUMENTS
Proposers may secure copies of Bid Documents as follows:
1. By contacting the Project Engineer, Ryan McDonald, at ryan@mcdonald-engineering.com or at (225) 324-5347
a. Download documents (.PDF file extension format) via email from McDonald Engineering after registering as a Plan holder. There is no cost or deposit required for this option.
b. Paper copies may be purchased upon payment of the following:
1) Complete Set of paper Bid Documents: $100.00 per set.
c. Bid Documents (paper) will be shipped pre-paid to the requester.
d. Payment shall be Company check or cashier’s check made payable to McDonald Engineering.
2. Prospective Bidders are urged to register as a Plan holder, even if Bidding Documents are obtained from a Plan room or source other than the designated website in either electronic or paper format. Only Prospective Bidders who obtain Bid Documents directly through McDonald Engineering will be registered as a document holder (Plan holder) and will therefore automatically receive addenda if/when issued.
3. No partial sets will be issued.
4. Neither Owner nor Engineer will be responsible for Bidding Documents, including addenda, if any, obtained from sources other than McDonald Engineering.
Bids received more than 96 hours, excluding Saturdays, Sundays, and holidays, before the time set for opening the Bids, as well as Bids received after the time set for receipt of Bids, WILL NOT be considered, and will be RETURNED UNOPENED. No Bidder may withdraw a Bid within 60 days after the actual date of the opening thereof.
A Non-Collusion Affidavit, and a cashier’s check, a certified check, or a surety bond in the amount of
5 percent of the gross Bid shall accompany the sealed proposal of each Bidder. Construction, Maintenance and Statutory Payment Bonds in the amount of 100 percent of the contract price are required for this Project. These bonds must be obtained from a Corporate Surety licensed in Oklahoma and approved by the Owner and Consulting Engineer. The Maintenance Bond required will guarantee the repair of all damage due to improper materials or workmanship for a period of 1 year after the acceptance of the work by the Owner
The contract is to be awarded to the lowest, responsive, responsible Bidder. The Owner reserves the right to correct any non-material clerical errors in the bidding as allowed under Oklahoma Law. The Owner reserves the right to reject any and all Bids in accordance with the Oklahoma Public Competitive Bidding Act of 1974. Conditional bids shall not be accepted.
INSTRUCTIONS TO BIDDERS
For all further requirements regarding Bid submittal, qualifications, procedures, and Contract award, refer to the Instructions to Bidders that are included in the Bidding Documents.
The following requirements and regulations must be complied with:
